Implementation Operations Manager
Position Summary
The PEO Implementation Operations Manager is responsible for leading and overseeing the end-to-end onboarding and deployment of services for new and transitioning clients specializing in PTO/Time & Attendance, Staffing Administration, and Workers' Compensation Only. This role ensures that all client implementations happen on schedule, within scope, and in compliance with relevant regulations and internal standards. The ideal candidate serves as a trusted advisor to their team, clients, and collaborates cross-functionally with product/tech, payroll, benefits, risk, compliance, and operations.

Client Onboarding & Project Management
- Serve as support and escalation for Implementation Specialist and new clients undergoing implementation.
- Develop and manage detailed implementation plans including milestones, timelines, and responsibilities.
- Conduct and support regular status calls with Implementation Specialists.
- Ensure all client deliverables (employee data, payroll history, PTO plans) are collected, validated, and loaded accurately.
- Collaborates with implementation specialists to support and maintain PTO, staffing administration, and workers' compensation only clientele
Payroll & HR Systems Setup
- Configure payroll systems (e.g., PrismHR) to meet client requirements.
- Oversee setup of PTO plans, time and attendance setups, and internal processes for staffing clientele. Coordinate with applicable departments.
- Partner with internal payroll, HR, and benefits teams to ensure system readiness.
Compliance
- Ensure workers’ compensation coverage and state-specific compliance measures are in place.
- Ensure PTO plans are setup and maintained compliant to state-specific requirements.
Cross-Functional Coordination
- Collaborate with internal teams (Payroll, Benefits, HR, Risk, Compliance, IT) to align client setup and resolve escalations.
- Liaise with sales/account management for a smooth implementation and maintenance process.
- Document and communicate status updates to executive stakeholders.
Ongoing Client Operations
- Conduct payroll runs for Workers' Compensation Only accounts, reconcile data, and confirm accuracy.
- Ensures systems, internal requirements, and compliance processes are fully operational.
Leadership & Team Development
- Supervise, mentor, and coach implementation specialists, fostering professional growth and technical expertise.
- Assign projects, balance workloads, and monitor team performance against quality and timeliness standards.
- Develop training resources, playbooks, and best practices to enhance consistency and efficiency across the implementation function.
- Promote a culture of accountability, collaboration, and continuous improvement.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- 3–5+ years managing implementations in a PEO, payroll, HR outsourcing, or HCM software environment.
- Strong knowledge of payroll, multi-state compliance, and PTO plan administration.
- Experience with PEO platforms such as PrismHR (preferred), or similar HRIS/payroll systems.
- Proven managerial experience, including supervising teams, conducting performance evaluations, and driving employee development.
- Strong data accuracy and analytical skills (payroll reconciliation, benefits enrollment audits).
- Ability to manage multiple client implementations simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with technology tools that support project management, HRIS/payroll platforms, CRM, and data reporting.
- Familiarity with process automation, data integrations, and emerging HR/payroll technologies is a plus.

Physical Demands and Work Environment
The role requires regular communication and may require occasional travel to support the distributed workforce. The role will primarily function indoors but may involve working in varying temperatures or outdoor environments as needed.
