POSITION SUMMARY 

Peoplease is seeking a qualified Leave Administration Specialist to join our dynamic team. This position will report to the Benefits Manager and will oversee and administer leave requests, particularly those arising under the Family and Medical Leave Act (FMLA), state and local leave laws, and short-term or long-term disability plans. This individual will be the primary contact with clients for providing and processing leave requests. The ideal candidate will be able to lead and execute the coordination of applicable leaves within required timeframes and expectations, demonstrate excellence in communication skills, possess the ability to perform detail-oriented tasks, and interact, coordinate, follow up, and effectively communicate with client contacts, Benefits team members, internal functional teams, carriers, and third-party administrators.  

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Facilitates communication between Client employees and Client contacts regarding employee leave requests. 
  • Ensures that employees and Clients are aware of their responsibilities and process for leave 
  • Communicates with Client regarding all steps of the leave process, keeping them informed of eligibility, designations, extensions, and return-to-work dates for each leave 
  • Handles the FMLA leave administration process from initial notice of the need for leave through the return to work and maintaining all records of the leave appropriately 
  • Coordinates continuation of Client employee benefits with Benefits and Payroll teams 
  • Advises Client contact on the interaction of federal and state leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits for each leave request 
  • Facilitates and processes applicable state leave requests both paid and unpaid including state disability leaves 
  • Processes and responds to all Medical Support Notices received; including researching employee benefits, calculating reasonable costs as required by the notice, and responding in a timely manner to the relevant agencies 
  • Preserves confidentiality of employee medical documentation and files. 
  • Maintains knowledge of all applicable leave laws including the FMLA, disability, and state/local laws
  • Performs other related duties as assigned  

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)  

  • Bachelor’s degree in Human Resources or combination of relevant education and work experience required 
  • Minimum of two years’ experience in human resources/benefits required; strongly prefer direct experience in leave administration 
  • Completion of specialized certification or training on FMLA/leave administration a plus
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA and other applicable laws
  • Comprehensive knowledge of protections offered under ADA with and without coordination of benefits
  • Excellent analytical and problem-solving skills
  • Excellent organizational skills and attention to detail
  • Proficient in Microsoft Office Suite
  • A successful candidate must have excellent communication and people skills
  • Self-starter with the ability to function as a remote employee or tethered to one of our locations leading a distributed workforce
